The following Policy Statement is very important for you to read before you register for any of the programmes offered by the CrossRoads Group through our Training Institute. These policies set-forth the requirements by which you as a student are governed at the CrossRoads Training Institute - your rights and obligations.

Admission Procedures
A. Prerequisites
Clinical Hypnotherapy
Applicants are required to take the entire year one programme from the CrossRoads Training Institute in order to be Registered as a Certified (Clinical) Hypnotherapist (RCH-CHt).
Clinical Counselling-Hypnotherapy
Applicants must be RCH/CHt certification having taken the equivalent to Year One Training and are required to be in Private Practice, taking the entire year two programme from the CrossRoads Training Institute to be eligible for Registration as a Clinical Counselling-Hypnotherapist (RCCH).
B. Admission Requirements
Minimum Grade 12 or equivalent or mature student status with an established work history. Preference is given for admission to the mature student with life experience because of the nature of the profession. Interviews are held on an on-going basis, if required, prior to the start of each programme.
Fluency in spoken and written English.
Must be physically and mentally healthy.
The total number of students accepted into any programme is limited, therefore we recommend that you apply promptly and in this way avoid disappointment.
C. Application Deadline
Applications must be received or postmarked 15 days before the scheduled start of training. (See Schedule or phone the CrossRoads Group - Note! if the programme is not full this may be waved)
D. Application Procedure
Submit:
a. Completed application form (on web site).
b. Documents for Student Records:
Transcript/certificates from last educational/training institute attended (if applicable).
Non-refundable application fee. (returned if programme is full or application not accepted).
Letter requesting transfer of courses (if applicable).
c. Answers a short questionnaire consisting of 9 to 12 questions about purpose and personal motivation for taking the programme.
d. Participate in several short psychological and communication evaluations.
e. Once the CrossRoads Training Institute has received all documentation a further telephone interview may be arranged.
G. Acceptance
Once all documentation has been submitted and the interview has been completed, applicants will be notified by letter or email as to their acceptance into the programme they are applying for entry.
Tuition Investment and Finances
1. Financial Assistance
There may be partial tuition grants, bursaries or private student loans available for the programme, contact the Institute for information about qualifying requirements.
2. Tuition Investment, Payment Plan and Finances
Tuition Investment for the different programmes is listed on the specific programme outline webpage. Tuition Investment is due in full the Day of Registration at the CrossRoads Training Institute unless other arrangements have been made.
Student Loan Payment plans using post-dated cheques can be established provided the student can support the post-dated cheques with a valid credit card as guarantor which carries a credit limit of at least $5000.00. The valid credit card guarantor shall be used to cover the amount of any default post-dated cheque or unpaid tuition which is in default. There is an interest/carrying charge added into the payment plans to cover administration costs. Should a student withdraw or be dismissed from the programme of study, the balance of all fees and tuition owed shall become due and payable on the date of withdrawal or dismissal and charged against the credit card guarantor.
There shall be a $30.00 charge for NSF Cheques, Cheques Returned to us in default by a financial institution and declined credit card payments.
Should a student fail to meet their financial obligations under the Student Agreement between the Student, The CrossRoads Training Institute and PCTIA. After a 30 day grace period, a student shall be informed by letter of default that they are in arrears in their financial obligation to the Institute and that they shall be charged an interest rate of 2% per month (24% per annum) on all unpaid balance commencing from the date of default. The interest amount shall be added onto the unpaid balance thus, the interest shall be compounded on a monthly basis. If the Student withdraws or is dismissed from the programme of study, any uncollected balance shall be put into the hands of a third party collection agency.
Students should expect to invest approximately $250.00 for books for year one and approximately $450.00 for the year two programme.
There may be miscellaneous fees for makeup exams and a course or a programme transfer.
3. Administrative Fees
Late Certificate Processing Fee. There will be a late filing fee of $100.00 for those applying for Certificates after graduation date due to exam retakes, fees owing, make-up sessions required and other conditions of graduation.
Proctored & Rewrite Exam Fees. The fee for writing/proctoring a missed exam is at the rate charged for exam rewrites - $100.00.
Duplicate Income Tax Receipts, Certificates, Transcripts, Diplomas, Course Outlines. For each duplicate requested there will be a fee of $25.
Programme Deferment. Because of serious illness or another acceptable reason, a student may be able to defer completion of the programme of study for one year. There will be an administration fee of $150.00 for the deferment of each module of the programme.
Administration Fee. To offset the additional expenses incurred due to changes in the PCTIA By-Laws dated November 2007 for the redundant duplication storage of student document off site. There will be a non-refundable Administration Fee of $50.00 (Non-refundable).

Credit Card. Adjustment fees are non-refundable.
4. Refund Policy
Refunds before the programme of study starts:
If written notice of withdrawal is received by the institution before the start of a programme of study, the institution may retain the $150.00 non-refundable application fee.
If the programme is full or the application denied then the application fee will be refunded in full by the institution.
Refunds after the programme of study starts:
If written notice of withdrawal is received by the the CrossRoads Training Institute, or a student is dismissed, within 10% of the period of instruction specified in the contract, the CrossRoads Training Institute may retain (or Collect) 30% of the total fees due under the contract.
If written notice of withdrawal is received by the CrossRoads Training Institute, or a student is dismissed, after 10% and before 30% of the period of instruction specified in the contract, the CrossRoads Training Institute may retain (or Collect) 50% of the total fees due under the contract.
If a student withdraws or is dismissed after 30% of the period of instruction specified in the contract, the CrossRoads Training Institute may retain (or Collect) 100% of the total fees due under the contract, no refund is required.
This refund policy is in accordance with the Private Career Training Institutions Act of British Columbia (By-Laws Dated November 2007).
Note: All Void Post-Dated Cheques are shredded/destroyed on withdrawal/dismissal of the student unless requested returned.
5. Exam Challenge Fees
There is a $500.00 fee to challenge each of the module one and/or module two exams. If successful the student may advance to the next module without taking the programme of study. If unsuccessful, at the discretion of the examiner, the student may be allowed to attempt one additional rewrite for the rewrite fee of $100.00.
Academic Standards and Policies
The CrossRoads Training Institute has a commitment to maintaining a high standard of professional and personal development. To achieve this, students will be tested by oral, practical and written examination. Students' progress will also be evaluated by their attendance, professional and personal conduct, clinical performance and contribution to the programme they attend.
Except for extreme situations, such as a death in the family or serious illness, the student must complete the programme within scheduled period. If the student is allowed to defer completion of the programme until the following year and then fails to complete the programme in that allotted time, the student must re-register. However, acceptance back into the programme is not guaranteed.
Grading System
The following system is used:
A 90-100 %
B 80-89
C+ 72-79
C 65-71
C- 60-64
F 59 or less Failure
I Incomplete
Some programme sessions or programmes may be evaluated on a pass or fail basis where it is more appropriate to the subject matter.
Exams in all programmes must be 60% or more to pass the programme.
Final Certification Exam must be 80% or more to be certified.
Challenge Exams for modules one and two must be 80% or more to pass in order to advance to the next level of the programme of study, thus by-passing the challenged level of study.
The date for writing and/or rewriting of Challenge Exams must be arranged with the examiner to fit within the overall training schedule for that training year.
A student receiving a grade below "C-" is responsible for retaking that exam upon making arrangements with the instructor. There will be a $100.00 charge for all exam rewrites.
A student receiving an "I" (incomplete) must make up the specified deficiency within two months or the "I" automatically becomes an "F".
Further:
Students must inform the instructor in writing why they will miss an exam prior to exam time.
An inexcusable absence may be deemed as a failed exam. Excusable absences are most frequently a result of illness or family emergency.
In the case of an excusable absence, an alternative date will be arranged with the instructor to write the missed exam either instructor supervised or proctored. Failure to write the exam on that prearranged date will result in a failed grade being given.
The fee for writing the missed exam is at the rate charged for exam rewrites - $100.00.
Late assignments will be deemed as one half (1/2) credit. Two weeks after the due date, assignments will not be accepted.
Further:
Full attendance is required at all programme sessions. Students must inform the instructor of any anticipated absences.
Absences of more than 10% of the number of programme sessions taught to date of each course may be made up at the discretion of the instructor and may involve an additional fee.
Unsatisfactory attendance may result in the lowering of the student's grade, academic probation, repeating the course or dismissal.
All students must be in attendance for the Day of Registration of the programme they have registered for. No exceptions are permitted as this first day of a programme is valuable for building the foundation of group bonding and CrossRoads Training Institute information and regulations.
Further:
Students are expected to arrive on time for programme sessions. Arriving late or leaving a session early may be considered an absence. Either situation will warrant a deduction from the attendance mark.
When a student's persistent lateness becomes disruptive to the session, corrective action may be implemented.
Further:
If a student has a grade on an exam of 50 to 59%, they will be given one opportunity to rewrite the exam. Students who fail the rewrite exam (59% or less) will be required to repeat the programme. Students who pass the rewrite exam (60% or more) will be given a 60% grade in that programme.
The following criteria must be met to receive credit in a programme:
60% grade on exams
80% grade on Certification Exams
completion of clinic objectives
90% or more attendance of programme sessions
completion of written and/or practicum assignments or case studies (if applicable)
Probation and Termination: students may be placed on probation or dismissed for the following reason:
disruptive or unprofessional behaviour
grading of less than 60% in a programme
attendance of less than 90% in a programme
inability to meet financial obligations
sexual harassment of fellow students, faculty, staff or clients
untreated chemical dependency
dishonesty in admission application
cheating or plagiarism
Dispute and Resolution Policy
If a student has concerns about the programme content, instruction or other programme-related issues, these are to be taken to the administration, either verbally or in writing. These concerns will be responded to within fourteen (14) days.
When a student is in dispute or conflict with another student, staff member or the administration, they are first encouraged to contact the person they are in dispute/conflict with, and settle it between themselves.
After following the previous process, should an unresolvable disagreement occur between the student and the CrossRoads Training Institute, the following policy and procedures must be followed to ensure resolution:
A mediator suitable to both parties shall be designated to review unresolved complaints, disagreements and disputes within seven (7) days.
The Mediator shall request written submissions from both parties within fourteen (14) days from the date of the appointment.
The Mediator shall review the written submission, conduct necessary investigations and provide a written decision to both parties within thirty (30 ) days from the date of the appointment. The decision of the Mediator shall be final.
Student Conduct
Students are expected to conduct themselves in a professional and appropriate manner. This includes appropriate dress and respectful conduct toward other students, faculty and clients. In consideration of others, students are required to attend classes and clinics scent-free.
Hours of Instruction
Programmes and programme sessions will be held inaccordance with the schedule provided in the letter of acceptance to the applied programme. The CrossRoads Training Institute reserves the right to adjust the programme schedule for whatever reason.
Graduation Requirements
Prior to receiving their Certificates of Graduation for the programmes, students must complete all requirements including:
a) passing grade for all required courses
b) completion of required clinical/practicum hours
c) satisfactory demonstration of clinical skills and attitudes
technical skills
accurate application of knowledge in clinical settings
caring and sensitive response to client's needs
effective communication with colleagues, clients and other health care practitioners
d) fulfilment of all financial obligations to the CrossRoads Training Institute
Clinical Certification For Private Practice
Graduates will be eligible for Professional Certification by the Association of Registered Clinical Hypnotherapists (ARCH Canada), the International Medical & Dental Hypnotherapy Association and/or the International Association of Counselors & Therapists (USA & International) on successful completion of the Programme. While there are several other certifying bodies and associations that will recognise the training in Canada and the USA. We endorse the ARCH, IMDHA and IACT because of their worldwide recognised status and that they are independent third-party certifying bodies.
